Files that know who may read them

Every file says whether it is yours alone, your department’s, for chosen people, or for everybody — a shared drive that is not simply open to the whole company.

What it does

Four ways to share

Keep a file to yourself, or share it with your department, with the people you name, or with everybody at the company.

Share, then take it back

Take somebody off a file and it leaves their list at once. An attachment, once sent, can never do that.

Checked every time

Access is checked each time a file is opened, not only when it is listed — copying the address of a file in Files does not get anybody in. Only a link you make on purpose opens it from outside, and you can stop that link.

Big files arrive whole

A big file goes up a part at a time, each part checked as it arrives, and carries on from where it stopped after a dropped connection or a closed page — so an hour-long upload is not lost at the first blink, and a dropped connection never leaves half a file behind. The only limit on one file is the room you have left.

Recordings land here

A meeting recording is filed with your files and shared the way any file is.

Documents open in place

Word, Excel and PowerPoint files open and edit in the browser, together.

Good to know

  • New Every person gets 5 GB of storage in the price, their own: a colleague’s unused space is not yours to use, and your files do not use up theirs. A file counts toward whoever uploaded it, even when it is shared, and the company as a whole has no limit — 20 people keep 100 GB between them, 200 people keep 1,000 GB. More room for each person is a plan of its own — ask us, and you are told the price before anything is charged.
  • New Big files carry on after a dropped connection. A file over 50 MB is sent a part at a time with a progress bar and a Cancel button; if the connection drops, the part that did not go is sent again, and if you close the page you choose the same file again and it carries on from where it stopped — nothing is sent twice. What has gone is kept for a day. There is no limit on one file beyond the room you have left, and you are told before anything is sent if the file will not fit.
  • New Files you send in chat count toward your own 5 GB — measured once a night, so Your storage says when it last looked and what you send today is counted tonight. They cannot be removed from Your storage yet.
  • New Send a file by email as a link. From a new message, choose a file from your computer or one already in Files, and the message carries a link instead of the file — no 25 MB limit, up to 512 MB. The link works for 30 days, or 7 if you choose. Anybody who has it can download the file without signing in, so send it to the people you mean it for; you can stop it at any time with Stop sharing, deleting the file stops it, and an administrator can stop any link at the company. Beside the file, Files says how many times it was downloaded and when last — never by whom. The file is kept in a Sent by email folder and counts toward your own storage.
  • New Choose what a link lets people do. View is the default: they download the file. Comment lets them write comments beside it, with a name they type first, and open a Word, Excel or PowerPoint file in the browser to read it. Edit lets them change a Word, Excel or PowerPoint document in the browser, and what they change is saved into your own file — they are shown as a guest next to their name, and the editing counts toward your own storage. You pick the level when you make the link and can change it later from Files, and a change reaches people who already have the link open at once; stopping the link ends their editing the same way. You are told in Meetowt, once an hour at most, when somebody has commented or changed the file; nothing is emailed. Comments from a link are shown to the people who may read that file in Files, and each link shows its own people only the comments made through that link.
  • New Your storage shows what you keep in Files, biggest files first, warns you at 80% and again at 95% of your own space, and lets you empty your own deleted files at once when you need the room back.
  • A deleted file waits in Trash for 30 days, and can be brought back until then. After that it is gone for good — or sooner, when you empty your deleted items yourself.
  • New Files and Your storage are in Arabic, too — right to left, with sizes, dates and the reasons an upload was refused written in Arabic — when a person chooses it. More

Questions

Can we take our files with us if we leave?

Yes. Ask and we hand you a copy of everything, files under their own names, within 30 days, with no export fee.

Is a shared link a way in?

Only a link you make on purpose. A file shared inside Meetowt opens only for the people it is shared with, signed in to your workspace — copying its address gets nobody in. To send a file to somebody outside, you make a link to it: it works for 30 days or 7, you can stop it at once, and an administrator can stop any link at the company.

Does the person I send a link to need an account?

No. They open the link in a browser, see the file’s name and size, and download it. If you made it a Comment or Edit link they give a name first — it is a label they type, not an account — and can write comments or, for a Word, Excel or PowerPoint file, change the document in the browser. Nothing else of yours can be reached through it, and a link that has run out, been stopped or belongs to a deleted file simply says it does not work any more.

Can somebody outside change my document?

Only if you make an Edit link, and only for Word, Excel and PowerPoint files. They are shown as a guest in the document, their changes are saved into your own file and count toward your own storage, and you can lower the link to Comment or stop it at any moment — their very next save is refused.
