Bring your old mail

Bring your old mail with you

Every folder and message comes across, as it was. Each person can bring their own mailbox — from Gmail, Yahoo, Zimbra or any mail server that speaks IMAP — or an administrator brings the whole company’s at once, from Microsoft 365, Google Workspace or Zimbra. It runs in the background while people work.

Each person, their own mailbox

  1. Open Mail settings

Choose Bring your old mail across, and pick Gmail, Yahoo or another server.

  2. Check first

Meetowt signs in, lists every folder with how many messages it holds, and copies nothing yet.

  3. Bring it across

It starts at once and carries on by itself. Close the tab if you like.

  4. Bring anything new, later

Press Bring anything new and type the old password once more: only mail that arrived since comes across, with nothing doubled.

The whole company, in one step

For a company leaving Microsoft 365, Google Workspace or Zimbra. Everybody’s account is made first; then an administrator does this once.

  1. Open the company settings

Staff, then Company, then Bring everybody’s old mail across — and choose Microsoft 365, Google Workspace or Zimbra.

  2. Sign in once

For Zimbra, the old server’s admin sign-in. For Google Workspace, a key your Google administrator makes and allows to read mailboxes. For Microsoft 365, an app your Microsoft administrator registers and allows to read mail. The screen shows what to paste where.

  3. Check who gets what

Meetowt opens one mailbox to prove it works, copies nothing, and lists everybody with the old address it expects for them. Change any that are wrong.

  4. Bring it across

Each person’s old mail comes into their own mailbox, in the background. Each is told who started it and from which address.

What arrives

Exactly once

Every message arrives once, in the right folder, with its date and whether it was read, flagged or answered.

Gmail labels, understood

A message with two labels arrives as one message in two folders, not as two copies.

Spam and Trash stay behind

Only the mail worth keeping comes across.

Stop whenever you like

Whatever already arrived stays where it is.

Passwords and keys

A person’s old password, the old server’s admin password, the Google key or the Microsoft app’s secret is kept only while the move runs, sealed, and removed the moment it finishes, fails or is stopped — the database refuses to keep it any longer.

Nothing in the old mailboxes is moved, deleted or marked as read.

Good to know

  • Gmail and Yahoo ask a person for an app password rather than their usual one. The screen says where to make one.
  • From Google Workspace, your Google administrator allows the key in Google’s own admin console. Once everybody’s mail is here, delete the key in Google Cloud.
  • From Microsoft 365, your Microsoft administrator registers an app in Microsoft Entra, allows it to read mail, and lets it into the mailboxes with two Exchange commands the screen writes out for them. Once everybody’s mail is here, delete the app.
  • A personal Outlook.com or Hotmail mailbox cannot be brought across yet.
  • Contacts and calendars do not come across yet.
